Paid Time Off Policy

Manchester College offers comprehensive paid-time-off benefits in support of the total employee: mind, body and spirit. Staff members are encouraged to take their paid holidays and vacation time; paid sick time should be used when necessary.  

Note: Athletic interns do not qualify for paid time off.

Paid Holidays

Manchester College provides nine paid fixed holidays and three floating holidays annually for regular, full-time staff. Additionally, each full-time staff member may earn one floating wellness holiday after participating in pre-approved, wellness-related activities.

 

Official Manchester College holidays are as follows:

 

              New Year's Day (usually January 1)

              Good Friday (date varies)

              Memorial Day (date varies)

              Independence Day (usually July 4)

              Thanksgiving (date varies)

              The day after Thanksgiving (date varies)

              Christmas Holiday (usually December 23)

              Christmas Eve (usually December 24)

              Christmas Day (usually December 25)

 

Three Floating Holidays (employee's choice with advance approval)

Floating wellness holiday (employee's choice with advance approval)

 

Holidays recognized by other religious faiths may be substituted by employees of that faith for those listed above. Staff members who elect to recognize an alternate religious holiday schedule are required to make those intentions known to their supervisors by December 31 of the preceding year or at the time of employment.

A maximum total of four religious holidays may be substituted in lieu of Christmas (three days) and Good Friday (one day). In this situation, the official college holiday will be taken off without pay if other paid-time-off benefits (i.e., vacation or floating holiday) have been exhausted.  

 

Eligibility and Accountability

The following terms and conditions shall apply to all eligible staff members:

 

Full-time, regular staff members are eligible immediately for holiday pay upon hire. Part-time staff who work a minimum of 1040 hours per year, (average 20 hours per week) are eligible for holiday pay on a pro-rated basis if the holiday falls on a regularly schedule work day. Floating holidays are also pro-rated.

Floating Wellness Holiday

The Wellness Holiday encourages each staff member to become healthier, which in turn, can collectively have a positive impact on health insurance premiums for everyone.   The annual Wellness Holiday is a floating day off that can be taken any time after it is earned, subject to prior approval from the employee's supervisor.

 

It may be earned by each full-time staff member through participation in various wellness activities that have point values assigned to them. These activities include the yearly fall Wellness Extravaganza and other options employees can tailor to their needs and interests. The Wellness Holiday is earned by accruing a total of five wellness points per year.

 

PAID VACATION TIME

Vacation is paid time off provided by Manchester College to full-time and part-time staff members at the levels outlined below, following a 90-day orientation period for new hires. Employees receive 1/24 of their annual vacation amount each pay period up to one-and-one-half times their annual rate.

Non-Exempt Staff

Regular full-time hourly (non-exempt) staff scheduled to work 40 hours per week for 12 months per year are granted vacation according to the following schedule:

 

00-05 years of service                   10 days per year (80 hours)

06-15 years of service                   15 days per year (120 hours)

16 years and over                          20 days per year (160 hours)

 

  • Year-round, part-time employees who are regularly scheduled to work at least 20 hours per week will receive vacation time on a prorated basis.

Exempt Staff

Regular full-time salaried (exempt) staff scheduled to work 12 months per year are granted vacation according to the following schedule:

00-10 years of service                    15 days per year (120 hours)

11 years and over                          20 days per year (160 hours) 

  • Traveling admissions counselors are eligible to receive 20 days of vacation annually.  
  • Full-time, partial-year employees will be granted paid vacation time on a pro-rated basis.

New staff members are eligible to use vacation following successful completion of the 90-day new employee orientation period. Vacation will accrue during the orientation period.

PAID SICK TIME

Manchester College provides paid time off to regular full-time staff members when absent from work due to illness, hospitalization, or medical disability. More specifically, paid sick time may be taken for the following reasons: Personal illness or injury that prohibits the employee from performing the required duties of the job; contagious disease that would constitute a health danger to others; illness or injury in the employee's immediate family (spouse, children, step-children, legally adopted children, siblings, parents, and spouse's parents) that requires the employee's care; and medical/dental appointments for the employee or the employee's parents or children that cannot be scheduled outside of normal work hours.

 

Sick time is granted on September 1 of each year. All full-time, 12-month employees are granted 80 hours of sick time per year with 9- and 10- month employees prorated accordingly. Part-time, 12-month staff who work a minimum of 20 hours per week are granted sick time on a prorated basis as well. Sick time is cumulative to a maximum of 90 days or 720 hours for full-time, 12-month positions. (Less than full-time are prorated).

 

New employees are eligible to begin using sick time after successful completion of the 90-day orientation period.
