Paid Time Off Policy
Manchester University offers comprehensive paid-time-off benefits in support of the total employee: mind, body and spirit. Staff members are encouraged to take their paid holidays and vacation time. Note: Hourly Assistant Coaches do not qualify for paid time off.
Manchester University provides regular full-time employees 12 paid holidays annually; nine are fixed and three are floating. Additionally, each full-time staff member may earn one floating wellness holiday after participating in pre-approved, wellness-related activities.
Official Manchester University holidays are as follows:
- New Year's Day
- Good Friday
- Memorial Day
- Independence Day
- Thanksgiving and the day after
- Christmas Holiday - three days
- Three floating holidays (employee's choice with advance approval)
- Floating wellness holiday (employee's choice with advance approval)
Full-time, regular staff members are eligible immediately for holiday pay upon hire. Part-time staff who work a minimum of 1,040 hours per year, (average 20 hours per week) are eligible for holiday pay on a prorated basis if the holiday falls on a regularly schedule work day. Floating holidays are also prorated.
Paid Vacation Time
Paid vacation time is provided for full-time and part-time staff members, as well as 12-month faculty. Vacation time may be used following the new hire 90-day orientation period. Vacation time accumulates each pay period at 1/24 of the annual rates outlined below on the ninth and 24th of each month.
Regular full-time non-exempt staff (usually hourly) who work 40 hours per week for 12 months per year are granted vacation according to the following schedule:
- Less than five years of service - 10 days per year (80 hours)
- After completion of year five - 15 days per year (120 hours)
- After completion of year 15 - 20 days per year (160 hours)
Regular full-time salaried exempt staff, and faculty scheduled to work 12 months per year, are granted vacation according to the following schedule:
- Less than 10 years of service - 15 days per year (120 hours)
- After completion of year 10 - 20 days per year (160 hours)
- Traveling admissions counselors are eligible for 20 days (160 hours) of vacation annually.
- Part-time staff members who are regularly scheduled to work at least 1,040 hours per year will received prorated vacation time based on scheduled hours.
- Full-time, partial-year employees will also be granted paid vacation time on a prorated basis.
Nine- and 10-month Faculty Members
- Nine- and 10-month faculty members receive paid time off during those periods when classes are not in session (e.g., holiday breaks, spring breaks, etc.) rather than traditional vacation time.
Paid Sick Time
Manchester University provides paid sick time to all regular full-time employees. Sick time is granted on September 1 of each year. All full-time, 12-month employees are granted 80 hours of sick time per year with nine- and 10- month employees prorated accordingly. Sick time is cumulative to a maximum of 90 days or 720 hours.
Paid sick time may be taken for the following reasons: Personal illness or injury that prohibits the employee from performing the required duties of the job; contagious disease that would constitute a health danger to others; illness or injury in the employee's immediate family (spouse, children, step-children, legally adopted children, siblings, parents, and spouse's parents) that requires the employee's care; and medical/dental appointments for the employee or the employee's parents or children that cannot be scheduled outside of normal work hours.
New employees are eligible to begin using sick time after successful completion of the 90-day orientation period.
Full-time employees are eligible to participate in the University's retirement program through TIAA-CREF following a two-year waiting period. Prior employment with a 501(c)3 or educational organization within the past 10 years will be counted toward satisfying the waiting period.
- The University contributes seven percent of gross annual earnings; nine percent after employee completes five years of service; no employee match required.
- Employees choose investment vehicles.
- University contributions are fully vested immediately.
Supplemental Retirement Account
Employees may establish their own supplemental retirement account (SRA).
- Voluntary employee contributions may be made on a tax-deferred basis.
- There is no waiting period to begin participation in an SRA.
- Full-time employees, their spouses, and unmarried children under age 24 are eligible for full tuition remission at the beginning of the semester following the start of full-time work by the employee, providing other qualifying criteria have been satisfied.
- Part-time, 12-month employees (scheduled for between 20-30 hours per week), their spouses, and unmarried children under age 24 are eligible for one-half tuition remission at the beginning of the semester following the start of part-time work by the employee, providing other qualifying criteria have been satisfied.
- Employees who are scheduled to work less than 20 hours per week are not eligible for this benefit.

The University provides multiple health insurance plans from which employees may choose.
- New hires are eligible for coverage the first day of the month following their hire date.
- Effective date for coverage is the first day of the month following the completion of the enrollment form.
- New hires must enroll within 30 days of employment or during the next open enrollment period (typically in December of each year).
Health Savings Account (HSA)
Persons enrolled in our high deductible health plan are eligible to open a health savings account (HSA).
Flexible Spending Accounts (IRS Section 125)
Voluntary flexible spending accounts allow employees to set aside pre-tax income dollars to pay for various medical, dental and dependent care expenses. To participate, new hires MUST enroll within 30 days of employment or at the next open enrollment period (typically December of each year).
Prescription Drug Benefits
Prescription drug benefits are provided as part of the health insurance coverage.
Basic vision coverage is provided as part of the health insurance coverage.
Life Insurance and Accidental Death and Dismemberment
The University provides basic life and ADD insurance coverage for all employees and their dependents.
Voluntary Group Term Life Insurance
Employees may choose to purchase additional group term life insurance coverage, if eligible.
Short-term Disability Coverage (STD)
The University provides STD coverage to all full-time employees, following six months of continuous service.
- The plan will provide disabled employees 60 percent of their monthly salary not to exceed $5,000 per month for a total of 26 weeks.
- Benefits begin following the eighth day of disability.
Long-term Disability Insurance (LTD)
The University provides long-term disability insurance benefits to full-time employees under the age of 65.
- Coverage begins the first day of the month following satisfaction of a 30-day waiting period.
- The University pays 100 percent of the premium.
Voluntary Group Dental Plan
The University makes available voluntary group dental insurance.
Domestic Partner Benefits
Manchester University provides certain benefits to its employees' domestic partners and their children who meet eligibility criteria. Please consult the Employee Handbook for details.
Employee Assistance Program
All full-time and part-time employees and their immediate family members are eligible to participate in the employee assistance program (EAP) provided through the Bowen Center.
- Each family member is eligible to receive five prepaid sessions of outpatient counseling per year at one of the six full service office locations.
- The service is completely private and confidential.
- The University pays 100 percent of the premium.
All employees receive a no-charge family membership to the Physical Education and Recreation Center (PERC), which features racquetball, exercise and weight room, arena, etc.
Golf Membership Opportunity
All employees are eligible for a discounted golf membership at the Sycamore Golf Club. Family members may be added for a fee.
